Position: Confidential Secretary to the Office of the School Committee
The Role:
Under the supervision of the Executive Secretary to the School Committee, the Confidential Secretary will perform secretarial duties related to the effective daily operation of the Office of the School Committee. Additional responsibilities include:
- Provide support to the Executive Secretary and School Committee Members
- Coordinate, attend, and take meeting minutes for all Subcommittee meetings
- Assist in the preparation of meeting materials (online and hard copies) for School Committee Members, in conjunction with the Executive Secretary
- Manage key financial aspects of the office, including purchasing office supplies, processing vendor payments, and handling travel reimbursements for Committee members
- Prepare School Committee motions and orders, and update the online meeting portal
- Courteously greet and direct office inquiries, and respond to phone calls, emails, and other correspondence
- Maintain an accurate and confidential office filing system, including files and records
- Research and process public information requests in a timely and accurate manner
- Coordinate food orders for School Committee meetings
- Update the Policy Manual in collaboration with the Mass. Association of School Committees (MASC)
- Maintain the School Committee Office and Meeting Room
- Attend Regular and Special School Committee meetings, including Roundtables and Retreats, in the absence of the Executive Secretary
- Perform other ad-hoc duties as assigned
- Attendance at night meetings are expected, particularly during the school year
Your Skill Set:
As the incoming Confidential Secretary, you will possess many, though perhaps not all, of the following characteristics and qualifications:
- Bachelor’s degree preferred or five (5) years of related experience in lieu of a degree (educational experience a plus)
- Possess demonstrated ability to maintain confidentiality
- Must demonstrate initiative and an appropriate sense of urgency; understand the importance of accuracy and details
- Must be congenial and collegial
- Must have the ability to work well and maintain professional relationships with the School Committee Members, Central Office Administrators, CPS staff, City Hall colleagues and the Cambridge community
- Must be reliable, available, and flexible as night hours will be required particularly during the school year.
- Superior secretarial skills
- Excellent typing (60 wpm), proofreading, filing, and research skills
- Ability to accurately report and transcribe meeting minutes
- Excellent written communication skills, including an understanding of grammar and style
- Excellent organizational, interpersonal, and verbal communication skills
- Knowledge of administrative and clerical procedures and systems
- Familiarity with Roberts Rules of Order and the Massachusetts Open Meeting Law, G.L. c. 30A, §§ 18-25 preferred
- Proficiency in Microsoft Office, G-Suite, and Zoom
- Ability to handle multiple tasks with a minimum supervision
Salary: $37.62 – $ 41.70 per hour. Overtime eligible.
Terms of Employment: 40 hours per week/12 months per year, non-union position. Evening and weekend work required.
