Description

Position:           Executive Secretary to the School Committee

                                               

The Executive Secretary to the School Committee reports directly to the Cambridge School Committee and is under the general supervision of the Vice Chair. The Executive Secretary is responsible for managing the functioning and business of the Office of the School Committee and supporting the Committee in its role of providing educational policy leadership.

 

Specific responsibilities include:

  • Attend or ensure coverage of all School Committee meetings and maintain and disseminate accurate minutes and other records in a timely manner.
  • Prepare and disseminate agendas and other relevant documents as needed for School Committee meetings.
  • Be knowledgeable of and able to interpret and apply Robert's Rules of Order.
  • Keep accurate records of School Committee motions, orders, policies, and other action items.
  • Maintain required records and files in accordance with relevant laws and to facilitate transparency and public access.
  • Coordinate all School Committee activities including meetings, round tables, public hearings, public testimony, workshops, travel/accommodations, etc. Ensure availability of appropriate facilities and equipment and appropriate public accommodations.
  • Sign contracts, agreements, checks, correspondence, documents, minutes and reports on behalf of the School Committee.
  • Receive and respond to a wide variety of calls, correspondence, and concerns on behalf of the School Committee, keeping members promptly and accurately informed as appropriate.
  • Establish and maintain effective working relationships with School Committee members and others, and work collaboratively with members, district and school personnel, parents, and the general public and others with regard to achieving School Committee goals and objectives.
  • Coordinate the maintenance and updating of the School Committee website and other digital platforms on behalf of the committee.
  • Supervise and evaluate office staff and manage budget.
  • Perform other duties as assigned.

Qualifications:

  • Education: High School diploma and minimum of 10 years related experience required or; Bachelor’s degree or higher with five or more years related experience preferred.
  • Excellent writing, communication, organization, and interpersonal skills.
  • Excellent note-taking and transcription skills with proven ability to listen attentively, summarize information, and write grammatically correct minutes and correspondence in a timely manner.
  • Must be proficient in MS Office, virtual meetings software (such as zoom), Google suites and other relevant digital platforms with an ability to learn to use and understand compatible applications for documents, note-taking, and communications, including paperless board meetings.
  • Knowledge of and ability to interpret and apply Robert's Rules of Order.
  • Ability to read and interpret documents submitted to the Board, including financial information.
  • Ability to interpret and summarize a variety of instructions furnished in oral, written, or other forms.
  • Ability to type a minimum of 50 words per minute and to communicate and process information by email and other digital forms.
  • Must be reliable, dependable, and have a proven track record demonstrating professionalism, diplomacy, discretion, initiative and responsiveness in executing all job responsibilities and in serving as a representative of the Cambridge School Committee.

Terms of Employment: This non-union position is 40 hours, 12 months and requires regular attendance at night and weekend meetings.

 

Salary:  $100,822- $110,746 annually
