Description

Position:           Clerk Specialist (40 hour/12 month)

                       Office of Student Services                    

 

The Clerk Specialist is responsible for enhancing the effectiveness of the operations of the Office of Student Services by providing information management support. Reports to the Fiscal and Operations Manager.

 

Major Areas of Responsibility:

  • Organizes work by reading and routing correspondence; collecting information; initiating telecommunications
  • Prepares reports by collecting information
  • Organizes the work of the Executive Directors and Directors to ensure seamless management of programs and services

Primary Objectives:

  • Supports the executive directors, directors, and lead teachers for programming Prek-post graduate for Special Education and Preschool 
  • Oversees Out-of-district referrals, data collocation, and communication with connected schools.
  • Oversees Private School services and programming
  • Orders and maintains data-based management systems connected to student tracking 
  • Ensures quality customer service by greeting customers, in person or on the telephone, answering and referring inquiries
  • Maintains customer confidence and protects operations by keeping information confidential
  • Collects, tracks and records monthly out-of-district attendance for all outplaced students 
  • Coordinates and tracks food snacks for OSS classrooms
  • Review IEP packets for evaluations involving a consent and extended evaluations; send notices for missing pieces, unsigned assessments, unsigned IEPs and other errors found in IEP review
  • Maintains Records 
  • Supporting Executive Director's/Directors schedules, covering minutes and other related duties

Specific Responsibilities:

  • Supports the work of the Executive Directors and Directors
  • Supports family and community engagement and communication
  • Maintains office supplies inventory by checking stock, anticipating needed supplies, placing and expediting orders; verifying receipt of supplies
  • Maintains student databases accuracy
  • Serve as backup for Confidential Secretary, when needed
  • Any duties as deemed necessary by the Fiscal and Operations Manager

Minimum Qualifications:

High School Diploma, GED, or Equivalent; preferred Associates/Bachelor’s degree. Three years clerical and/or office experience, five years preferred.

  • Proficient in Microsoft Office Applications
  • Evidence of strong collaboration skills
  • Excellent skills in oral and written communication
  • Demonstrated track record of customer service/satisfaction
  • Self-starter

Terms of Employment:

Full time position (12 months/year, 40 hours/week).
